Personal data processing policy

1. General provisions

1.1. This policy sets out how personal data of visitors to flotservice-murmansk.ru (the “Website”) is processed and protected, in accordance with Russian Federal Law No. 152-FZ “On Personal Data” of 27.07.2006.

1.2. The personal data operator is FlotService LLC (ООО «ФЛОТСЕРВИС», the “Operator”).

1.3. By sending a request through the Website, you confirm that you have read this policy. Consent to the processing of personal data is given as a separate document — the Consent to the Processing of Personal Data.

2. What data we process

2.1. Data you enter in the request form: name, phone number, company, vessel name, vessel length, port, preferred inspection format, comment.

2.2. Data you provide by phone or in correspondence: e-mail address, position and other details needed to prepare an offer and a contract.

2.3. We do not process special categories of personal data (health, beliefs, etc.) or biometric data.

3. Purposes and legal grounds

3.1. Purposes: reviewing your request and quoting the inspection; contacting you about the request; preparing, concluding and performing a service contract.

3.2. Legal grounds: your consent (Art. 6(1)(1) of 152-FZ); conclusion and performance of a contract to which you are a party (Art. 6(1)(5) of 152-FZ); compliance with the Operator's obligations under Russian law.

3.3. We do not use your data for marketing mailings and do not make decisions with legal effect based solely on automated processing.

4. How we process data

4.1. The Website does not keep a database of requests and does not store form data on the server. When you press “Get a quote”, the request is passed to the Website's server located in the Russian Federation, which turns it into an e-mail and sends it to the Operator's corporate mailbox flotservicecompany@mail.ru, which is hosted on the servers of the Mail.ru e-mail service. If the request could not be sent through the Website, the Website offers to send a message from your e-mail app instead; it is sent only when you press “Send” yourself.

4.2. Operations: collection, recording, systematisation, accumulation, storage, clarification, use, deletion, destruction — with and without automation tools.

4.3. Recording, systematisation, accumulation, storage and clarification of personal data of Russian citizens are carried out using databases located in the Russian Federation.

5. Retention periods

5.1. Data is kept until the purposes of processing are achieved. If no contract is concluded — no longer than 3 years from your last contact. If a contract is concluded — for its term and the document retention periods required by Russian law.

5.2. If you withdraw consent, processing stops and the data is destroyed within 30 days, unless the Operator has other legal grounds to process it.

6. Disclosure to third parties

6.1. We do not sell or disclose your data to third parties except where required by law — for example, at the request of supervisory authorities within their powers, including when submitting inspection reports under Russian Government Decree No. 1867 of 25.11.2025. The Mail.ru e-mail service is used to receive and store messages and the hosting provider Timeweb hosts the Website; these companies provide the technical operation of the mail and the server.

6.2. Request form data is not transferred outside the Russian Federation. The Website is hosted by the Russian hosting provider Timeweb, and requests are delivered to the Operator's corporate e-mail (flotservicecompany@mail.ru, Mail.ru service). Server technical logs (section 9) are kept by the Website's hosting provider.

7. Your rights

7.1. You have the right to: obtain information about the processing of your data; demand that it be clarified, blocked or destroyed if it is incomplete, outdated, inaccurate or unlawfully processed; withdraw your consent; appeal against the Operator's actions to Roskomnadzor (the Russian data protection authority) or in court.

7.2. To exercise your rights or withdraw consent, write to flotservicecompany@mail.ru or send a letter to the Operator's address. We reply within 10 business days.

8. Data protection

8.1. The Operator takes legal, organisational and technical measures to protect personal data against unauthorised access, alteration, disclosure and destruction: access is limited to the staff who need it, account protection tools and technical measures that protect the request form from mass spam (a limit on the number of requests and a check of the request origin) are used.

9. Cookies and technical data

9.1. The Website does not use cookies, web analytics or advertising trackers. Fonts and all materials are loaded from the Website itself.

9.2. To avoid showing the intro animation twice, the Website stores a technical flag without personal data in your browser (sessionStorage); it is deleted when you close the tab.

9.3. The Website is hosted on servers of the Russian hosting provider Timeweb. The hosting provider automatically keeps technical logs (IP address, browser type, request time) for reliability and security. In addition, to protect the form from spam, when a request is submitted the Website records on the server a technical identifier of the sender calculated from their IP address (a checksum made with the server's secret key) and the time of the requests, as well as a total request counter per hour that is not linked to any IP address. The identifier and request times are kept for up to 10 minutes and the total counter for up to 1 hour; the records are then deleted at the next use of the form. This data is processed as technical data for spam protection, is not used to identify visitors and is not combined with request data.

10. Changes to this policy

10.1. The Operator may amend this policy. A new version takes effect when published on the Website. The date of the current version is shown at the top of this document.
